Alpine Accelerate Program Terms & Conditions

Welcome to Alpine Accelerate. These Terms & Conditions explain the expectations, permissions, and responsibilities that apply when a student participates in Alpine Accelerate tutoring sessions, educational activities, events, website features, communication channels, and related programs.

By registering a student, submitting a form, signing a waiver, attending a session, or using Alpine Accelerate’s website or program resources, a parent or legal guardian agrees to the terms below.

About Alpine Accelerate

Alpine Accelerate is a student-led nonprofit tutoring program that provides free academic support to students through group tutoring, worksheets, educational games, reading and writing activities, and related learning opportunities.

Our program is designed to support students academically while creating a welcoming, encouraging, and community-focused learning environment. Alpine Accelerate is not a licensed school, childcare provider, medical provider, or professional tutoring company.

Parent/Guardian Permission

A parent or legal guardian must give permission for a student to participate in Alpine Accelerate activities. Participation may include tutoring sessions, educational games, group activities, worksheets, reading and writing activities, special events, community activities, and other related program experiences.

Parents/guardians are responsible for providing accurate registration information, emergency contact information, allergy or medical information, pickup information, and any other details needed to help Alpine Accelerate provide a safe and organized environment.

Free Program

Alpine Accelerate tutoring sessions are currently offered free of charge. Some optional activities, rewards, special events, or future programs may have separate requirements or limitations, which will be communicated when applicable.

No Guaranteed Results

Alpine Accelerate aims to help students build academic confidence, strengthen foundational skills, and develop positive learning habits. However, we do not guarantee specific grades, test scores, academic outcomes, school placement, or measurable improvement.

Student progress depends on many factors, including attendance, effort, consistency, school curriculum, outside practice, and individual learning needs.

Student Conduct and Program Expectations

Students are expected to participate respectfully and safely. This includes listening to tutors, treating other students kindly, using materials appropriately, following room rules, and respecting the library or host facility.

Alpine Accelerate may contact a parent/guardian if a student’s behavior creates safety concerns, disrupts the session, damages property, or prevents other students from learning. In serious or repeated situations, Alpine Accelerate may limit or deny future participation.

Parent/Guardian Responsibilities

Parents/guardians are responsible for:

Registering students with accurate information

Providing emergency contacts and medical/allergy information

Ensuring timely drop-off and pickup

Informing Alpine Accelerate of any important student needs

Reviewing program updates and communications

Completing required waiver or permission forms

Making sure the student understands basic behavior expectations

Alpine Accelerate is not responsible for students before they are checked in or after they are picked up or leave the program area.

Pickup, Drop-Off, and Attendance

Parents/guardians must arrange safe and timely transportation for their student. Students should be dropped off and picked up according to the session schedule and any location-specific instructions.

Alpine Accelerate may track attendance for safety, communication, planning, and point-system purposes. If a student will be late, absent, or picked up by someone else, parents/guardians should notify Alpine Accelerate as soon as possible.

Assumption of Risk

Alpine Accelerate takes reasonable steps to provide a safe and supervised group learning environment. However, participation in any in-person activity involves ordinary risks, including minor injuries, accidents, illness exposure, allergic reactions, or other unexpected situations.

By allowing a student to participate, the parent/guardian understands and accepts the ordinary risks connected with tutoring sessions, educational games, group activities, snacks, transportation, and use of library or host-facility spaces.

Release of Liability

To the fullest extent permitted by law, the parent/guardian agrees to release and hold harmless Alpine Accelerate, its student tutors, volunteers, organizers, representatives, and host facilities from claims, damages, injuries, losses, or expenses connected to participation in Alpine Accelerate activities, except where caused by gross negligence or willful misconduct.

Emergency Medical Authorization

In the event of an emergency, Alpine Accelerate volunteers may contact emergency services and/or seek necessary medical assistance for a student if a parent/guardian cannot be reached quickly.

Parents/guardians understand that they are responsible for any medical costs, transportation costs, or related expenses that may result from emergency care.

Allergies, Medical Information, and Snacks

Parents/guardians must notify Alpine Accelerate of any allergies, medical conditions, dietary restrictions, or other important information before the student participates.

Alpine Accelerate may provide snacks or allow snacks during certain sessions. While we will try to be mindful of allergy information provided by families, we cannot guarantee an allergen-free environment.

Photo and Media Permission

By participating in Alpine Accelerate activities, parents/guardians give Alpine Accelerate permission, where permitted by law, to photograph or record students during program activities and to use approved photos or videos for the Alpine Accelerate website, social media, flyers, promotional materials, recaps, or community updates.

Alpine Accelerate will not knowingly publish private student information, such as full personal contact information, address, medical information, school information, or emergency contact information, with these images.

Parents/guardians with specific photo or media concerns should contact Alpine Accelerate before participation.

Communication Permission

Parents/guardians agree that Alpine Accelerate may contact them using the information provided during registration. Communications may include session reminders, schedule changes, attendance updates, safety concerns, behavior concerns, program announcements, waiver reminders, event information, point-system updates, and other program-related messages.

Communication may occur through email, phone, text, website forms, GroupMe, Instagram, or other approved communication channels.

Student Information and Privacy

Alpine Accelerate may collect student and parent/guardian information for registration, attendance, safety, communication, program planning, and point-system tracking. This may include student name, grade, parent/guardian name, parent/guardian contact information, emergency contact information, allergy or medical notes, attendance records, waiver status, and point-system information.

Alpine Accelerate will make reasonable efforts to keep private student and family information confidential. Private information will not be intentionally shared publicly unless permission is given or disclosure is necessary for safety, legal, or emergency reasons.

Website and Online Features

Alpine Accelerate’s website may include program information, event details, registration forms, contact forms, calendar links, waiver links, community updates, and future student or parent portal features.

Users agree not to misuse the website, submit false information, attempt to access private information, interfere with website functions, impersonate another person, or use Alpine Accelerate online systems for inappropriate purposes.

Points, Rewards, and Recognition

Alpine Accelerate may use a point system to encourage attendance, effort, completion of activities, learning milestones, educational games, and community participation.

Points, rewards, badges, recognition, and community milestones are program tools and do not have cash value. Alpine Accelerate may adjust point rules, reward options, redemption rules, or community milestone rules at any time.

Alpine Accelerate may correct point errors, remove points awarded by mistake, or modify the system to keep it fair and manageable.

Program Changes and Cancellations

Alpine Accelerate may change session times, locations, subjects, activities, tutor assignments, room assignments, capacity limits, communication methods, or program rules when needed.

Sessions may be canceled or rescheduled due to tutor availability, library or facility issues, weather, safety concerns, low registration, emergencies, or other circumstances.

Right to Refuse or End Participation

Alpine Accelerate reserves the right to refuse, pause, or end a student’s participation if necessary for safety, behavior, capacity, communication, incomplete forms, missing parent/guardian permission, or other program-related concerns.

External Locations and Host Facilities

Alpine Accelerate sessions may take place at libraries, community spaces, schools, or other host facilities. Families must follow all rules of the host location. Alpine Accelerate does not own or control all host facilities and is not responsible for facility policies, closures, restrictions, or conditions outside its control.

Updates to These Terms

Alpine Accelerate may update these Terms & Conditions as the program grows or changes. Updated terms may be posted on the website or shared through program communication channels. Continued participation after updates means the parent/guardian accepts the revised terms.

Parent/Guardian Agreement

By registering a student, signing a waiver, submitting a form, using Alpine Accelerate’s website, or allowing a student to attend a session, the parent/guardian confirms that they have read, understood, and agreed to these Terms & Conditions.
